Covid-19 FAQ

Camp will only be available to those in 1st-5th grade from 9AM-3PM from July 6th-July 31st.

​what is the reasoning behind only offering camp to 1st-5th graders?
In order to keep our entire community safe, we have decided that we will have no more than 50 campers on campus with 10 staff. Historically, the vast majority of our registrations have always been 1st-5th graders. Due to this, we have decided to limit our program to that grade range. 

We understand that our decision to not offer our Cubs program is difficult to hear. Our youngest campers do sometimes require more assistance with activities (bathroom use, sunscreen, rest time, etc.) that would not allow our staff to main recommended social distancing. 
​why isn't am or pm extended day being offered?
In order to maximize social distancing by limiting our time together, and give our team time to clean campus at the end of each day, we will not be offering either AM or PM extended care this summer. 
i've already registered my campers for the weeks in july & august, will i need to re-register?
We will give priority to those families who were first to register for the weeks in July and August. We will reach out to these families individually and manage the enrollment process for them. You will not need to re-register, but once your original payment has been refunded we will arrange a new payment. 
why does summerworks need to cancel and refund my session even though i'm planning on re-registering?
Due to the complexity of the registration for our normal summer program and the limitations of our camp software, we have to cancel all existing registrations in order "build" this new program. In the case that you receive one of the limited spots in our new program, we will manage the registration for you to remove that burden from families. 
How many campers will be on campus each week? 
As of this moment we are planning on having 50 total campers on campus with no more than 10 camp staff. These numbers could change based on the CDC guidelines. When on campus we will split into smaller groups and avoid large group gatherings. 
How many campers of each grade are you accepting?
We will only enroll up to 50: 1st-5th grade campers. We will register families of rising 1st-5th graders based on how early they registered and not which grade they are in for the July/August weeks of camp. 
will summerworks have any virtual opportunities to keep my kids engaged? 
Distance learning opportunities are available to all Rowland Hall and SummerWorks families in the weeks leading up to camp and will continue to be available if we are unable to run our planned in-person program. Please email alecbaden@rowlandhall.org for more information. 
How will you communicate changes?
Our first priority is to communicate to those families who are currently registered for the summer of 2020. We will email registered families and keep our website up to date as decisions are made. 
will campers be going off campus at all?
In order to avoid close physical contact we have decided that it would be best to practice not to transport campers on our school busses. We will likely take campers on walks/hikes that are within walking distance from our Rowland Hall campus. When on or off campus we will keep our group sizes as small as possible and avoid any type of large group gathering. 
do i need to provide my own snacks and lunch for my camper?
Yes! Please send your child with a healthy packed lunch and snack each day of camp. In order to ensure the health and safety of all campers will not be providing snack this summer. 
will a mask be provided for my camper by summerworks, or do i need to provide one for them?
Well-fitting masks that properly cover the wearer's nose and mouth will be required for all staff and campers while inside the building, or in the event that we are unable to practice proper social distancing (for example, if we need to assist with first aid). Families will be required to supply their own masks for children. Families who arrive to campus without a mask for their camper will be asked to turn back to pick one up.
How far in advance will be given if summerworks needs to close?
In the event that SummerWorks has to close for any reason, we will give you as much advance notice to all registered families as we possibly can. 
what are you doing to prevent someone from bringing covid-19 to camp?
We will conduct regular health check-ins and daily screenings to ensure that all campers and staff are not showing symptoms. Families will be asked to screen their children for two weeks leading up to their child's week of camp.
What are your plans to clean and sanitize camp?
All spaces and program supplies will be regularly cleaned and sanitized before and after their use. Camp staff will remain on campus each day to clean for a hour and a half after the campers have departed. 
who is guiding your camp health and safety plans?
We will follow all health and safety guidelines set forth by Rowland Hall, the CDC and the American Camp Association, with whom we are accredited. 
what arrival screening and health response procedures are you putting into place this summer to promote camper safety?
We are still in the process of establishing our health and safety procedures for on campus programming. We will follow the guidelines of the CDC and the American Camp Association, with our highest priority being the health and safety of all campers and staff. We plan to take the following steps to ensure a clean and safe environment for all. 
  • There will be health screening questions asked of all staff and campers prior to the start of camp. 
  • We will clean and sanitize all surfaces that anyone comes in contact with prior to and after contact is made.
  • We will have smaller group sizes and follow all social distancing guidelines.
  • We will help prevent the transmission of any communicable disease by using suggested PPE and regular hand washing. 
  • In the event of a confirmed case within our community, we will strongly consider temporary closure of our campus.
my camper has a compromised immune system, can they still come to camp?
We strongly suggest that you reconsider sending your child to our program if they have a compromised immune system. Please follow the recommendations of your child's physician. 
do you have a full time nurse at camp?
We will not have a registered nurse on campus, however all staff are First Aid/CPR certified. We will have registered nurse on call in the case that we need their recommendations. 
if someone in my household has been exposed or tests positive for covid-19, do i need to notify summerworks?
Please notify the SummerWorks team immediately if anyone who has been in contact with a member of our SummerWorks community (camper or staff) has been tested positive or exposed for COVID-19 or any other communicable disease. This will help us ensure that we can take the necessary precautions. 
What Ppe will the staff be using in order to protect themselves?
All of our staff and campers will be required to wear properly fitted face masks that cover their mouth and nose whenever indoors or whenever deemed appropriate by CDC guidelines. Gloves will not be required but regular hand washing will continue to be a part of our daily routine. 
does the first time camper, sibling, or bulk discount still apply?
In order to move forward with an on campus program, we will not be able to offer any type of discount. Previously arranged discounts will not apply. 
If I've already applied and was accepted for financial assistance, will that still be available?
Due to the necessary adaptations to our program structure, we will no longer be able to offer any discounts or provide families with Tuition Assistance for the summer of 2020. 
what is the refund policy in the event that summerworks needs to cancel any further sessions?
In the event that we have to cancel any planned weeks of SummerWorks, all families will receive a full refund minus any credit card transaction fees. 
if summerworks isn't cancelled but i longer feel safe sending my child, will i get a refund?
Due to our limited space, please inform us ASAP if you choose to no longer send your child. Your spot will be given to a waitlisted family. You will receive a full refund if you cancel 1 week in advance. Please see our SummerWorks refund policy. 
how long does it take to get my refund?
Due to the high volume of cancellations and refunds we will be processing, refunds may take longer than they have in the past to process. Please let us know if you need your refund expedited for any reason and we will do our best to accomodate.
can i roll my payment over to the summer of 2021?
You are always welcome to let credits remain on your account to apply to future registrations. If you prefer this option, please reach out to us directly. 
​what will an average day of camp look like with these restrictions?
At this point we are still working on creating the programming for these weeks of camp. We are working hard to come up with games and activities that can be done while maintaining social distancing and safety guidelines. Some activities we are currently considering are: 
  • Arts & Crafts
  • Dance & Music
  • Outdoor & Gardening Education
  • Games & Sports
  • Hikes within walking distance from the RH campus. 
  • Off campus hikes (TBD-would only be possible if parents are willing to drop off/pick up at hiking location) 


what is the summerworks cancellation and refund policy?
In order to receive a full refund, you must cancel or change your camper's registration by contacting us at least seven days before your first day of camp. You can receive a 50% refund if you cancel by 5pm on the Friday prior to your upcoming week of camp. Refunds will not be issued after 5pm on the Friday prior to the cancelled week; nor for camp days missed due to illness or other reasons. ​Please note that if you pay with credit card, your surcharge fee will not be refunded. 
will siblings be placed in the same group?
Yes! In order to limit exposure among families, siblings will be placed in the same group.
what will the screening questions be upon arrival to camp each day?
Upon arrival to camp, a counselor will meet you at your car at your designated drop off zone and ask you the following, as well as take your campers temperature.
  • Has your camper shown any of the following symptoms within the last 24 hours: fever, cough, new or increased shortness of breath, decreased sense of smell or taste, sore or scratchy throat, muscle aches and/or pains, congestion, nausea and/or vomiting, and diarrhea.
  • Does anyone in your direct household have COVID-19, awaiting a test result of COVID-19, or been in close contact with someone confirmed to have COVID-19 in the last 14 days?
  • Has anyone in your household traveled outside of the US or to a high-risk area within the last 14 days?
What if a camper starts to show symptoms during the camp day? 
If a camper begins to show symptoms of any sickness during the camp day, they will be immediately separated from the rest of the group, and families will be called to come and pick up the camper. In extreme situations with serious signs of COVID-19, there is an isolation room for the camper to wait in until picked up. A staff member will wait in the room with them, wearing all proper PPE equipment. The rest of the group will remain outdoors for the rest of the day, and their assigned classroom will be cleaned and aired out for the remainder of the camp day.
